Auto Attendant

An auto-attendant is a prerecorded "menu" system that can be used to direct callers to different departments or employees within your company.  You can use it to streamline your call flow and present your callers with a professional-sounding system.  Our auto-attendant feature is highly customizable and can be modified and scaled to meet the needs of nearly any business application.

Depending on your plan type, an autoattendant may be included at no extra charge.  Talk to your Easy Office Phone sales representative to learn more about using an autoattendant with your particular plan. Where not included, the autoattendant is available for $14.99 per month.

Automated Information Center

An automated information center is pre-recorded information that you wish to make available for customers 24 hours a day. For instance many companies allow callers to get driving directions to their office, hours of operation, information on products or services or details on special promotions. You can use this feature to promote a special offer you have available. Callers will sometimes call after your office closes and want to know what time you will be open the next day and how to get there.

Caller Announcement

Often employees can be responsible for many functions within an organization such as sales and billing. Using this feature will allow you to see which department or product the customer is trying to reach before you answer the call. This allows you to provide an appropriate greeting to the caller such as "Thank you for calling the Sales department, this is John, how may I help you?".

Call Answer Security

This feature allows you to receive calls at home or on a cell phone which is often used by more than one person.  In addition, home and cellular telephones often have personal voice mail greetings which are not appropriate for customers to hear.  Call answer security places the customer on hold while the system calls your personal telephone number.  In order to answer this call you must enter a two digit code to keep family members or personal voicemail from accidentally accepting the call.  If none of your telephone numbers are able to accept the call then the caller will proceed to the appropriate office voicemail box.  This can be a useful feature if you wish to have both your cellular phone and your regular office telephone ring when a customer calls your extension/department (see Find-me/Follow-me).

Call Forwarding

Call Forwarding lets you forward your extension to a cell phone, regular telephone or another employee. For instance when you leave the office for lunch you may want to forward your extension to your cell phone so you don't miss an important call. Instead of your office telephone ringing your cell phone will ring instead. Our web-based customer account interface allows easy call forwarding on the fly.

Caller ID

This feature lets you see the name and number of the person who is calling you before you answer. Likewise this allows others to see who is calling them when you make a call. You can set this feature to display your company's name and phone number to third parties. This information can also be blocked if you do not wish it to be shown when you make a call. Caller ID cannot be guaranteed in all areas or all situations.

Call Monitoring

Using this feature authorized employees can monitor calls for quality assurance or training purposes. For instance a new sales person might be asked to monitor calls from more experienced sales people in order to better understand how to sell your product.

Call Recording

Call Recording is possible using one of two methods. Under the first method, you can use a soft phone (which is telephone software that runs on your computer with a headset) to quickly and selectively record calls you make or receive. Simply click on the "Record" button during a call to begin recording the call to your desktop.

Call Screening

Call screening asks callers to say their name before being connected to your extension or department. This feature can sometimes be useful for busy executives who do not wish to be bothered while they are busy. Alternatively you can use Do not Disturb to send callers directly to your voicemail.

Conference Calling

Conference calling is used to connect different people together so that you can hold team meetings, training programs or demonstrations with several people at once from your phone. While in a conference call each person is able to speak to the group and vice versa. Our Aastra phones natively support up to three parties on a conference call. For a larger number of participants, consider our Conference Bridging service.

Custom Hold Music/Information

While callers are waiting to be connected to a department or are waiting on hold for the next available representative they can hear music or promotional messages. You can also use your telephone to place a caller on hold at any time during a conversation. You can either select from one of our default music selections such as classical, soft rock or jazz or use a custom musical selection or promotional message of your choice. Many companies use the opportunity of a customer on hold to tell that customer more about their products or different ways the products can be used.

Day/Night Modes

You have the choice to have different auto-attendant greetings and options depending on the time of day. For instance, callers could be greeted by a message saying "Thank you for calling, our office is now closed..." and if a caller wishes to contact the sales department they would be told that the sales department is closed and that they should leave a voicemail. This feature is a function of your autoattendant.

Day & Time Based Routing

With this feature you can choose to route calls differently based on what day or time of day it is. This easily lets you route calls to different auto attendants, play different messages depending on what time of day it is. You can even use different hunt groups such as an after hours sales and regular hour sales team.

Departmental Ring Groups

Departmental ring groups allow multiple people in a department to receive incoming calls at the same time. If a customer was trying to contact the sales department you could have any number of phones ring at once and whoever picks up the phone first will answer the call. This feature is useful when you have multiple people who normally handle incoming calls for a department and can be used over any geographical distance. You have employees working from home and at the office who might answer incoming calls when someone calls the sales department. Call announcement is commonly used with this feature so that employees know what department the caller is trying to reach before they answer the call. This feature is a function of your autoattendant.

Dial-By-Name Directory

It is common for customers to forget or not be aware of the extension number of an employee. With the Dial-By-Name directory customers can enter the first or last name of an employee and they will be transferred to them immediately. This feature is a function of your autoattendant.

Direct Phone Numbers

A direct phone number can be setup for employees who wish to be contacted directly without having to call the company's main phone number and enter an extension or department. When someone calls this direct phone number they will be connected to the appropriate person immediately or get their voicemail if they are unavailable. Do Not Disturb

Do not disturb lets you place your phone in DND mode so that any calls to your extension are automatically sent to voicemail. This is a useful feature if you are busy meeting with a customer and do not want to be interrupted.

Employee Status Indicators

An employee status indicator lets other employees see if a particular person is on the phone or receiving a call. This is particularly useful when you need to know if you should transfer a customer to this person or if you need to find a sales representative who is currently free to take calls. This feature can be used to tell whether a person is on the phone even if they are at home or across the country. Employee indicators are possible with many of our Business VoIP phones.

Employee Mobility

Employees can work from anywhere with Easy Office Phone such as at home, on their cell phone, at a hotel or another office. Calls can be sent to multiple locations at once giving you the opportunity to pick up the call no matter where you are at the moment. For instance, you might have your cell phone and office phone ring whenever someone calls your extension or department, and you can answer whichever phone is convenient for you at the time. You can also work from wireless hot spots using your laptop and a headset or install a powerful digital business phone at your home. There are no limits to how far employees can be from each other, with our solution you could create a virtual office of employees across the country and they will still be able to see who is on the phone and transfer calls to each other as if they were in the same office. Employees can also call each other by dialing the appropriate extension over any distance without incurring long distance charges.

Find-Me/Follow-Me

Find-Me lets you select multiple locations where you should be reached when someone calls you. If you were to specify a cellular telephone, your office business phone and a telephone at another branch office the system will call all these telephones at the same time. This allows you to always be able to receive your business calls without having to worry about specifying where you are currently located. Follow-Me is similar except that the system attempts to reach you at each location in order, one at a time. For instance a customer would be put on hold while the system first calls your office phone and then if there is no answer tries your cellular phone.

Free Calls Between Subscribers

With Easy Office Phone you can always call other subscribers for free by simply dialing their phone number.  It does not matter how far away the subscriber is from your office, you will not have to pay long distance charges or incur any cost at all.

Free Calls Between Employees

You can make free calls to other employees simply by dialing their extension. It does not matter where that employee is located as you will not have to pay long distance charges or incur any type of cost. If an employee is across the country you can still dial their extension and speak to them as if they were in the same office for free. Please note that if the employee is taking calls on their cell phone or traditional telephone line (such as a home phone number) there may be long distance or a per minute fee depending on the type of plan you have selected. If the employee is using one of our business telephones, a computer or a laptop to receive calls then the call is always free.

Hunt Groups

A hunt group is a list of employees that should be called when a department is selected by a customer.  The customer is first placed on hold with music and then the system begins to "hunt" for someone to answer the call.  Here is an example:

Step 1 - Customer selects "Sales" department
Step 2 - Call Mary, Bob, and John on their office telephones
Step 3 - Call Mary's Cell Phone
Step 4 - Call Bill and John's Cell Phones
Step 5 - Go to Sales Voicemail Box if no answer

Live Call Forwarding

Live call fowarding lets you forward your extension to a traditional telephone such as a cell phone or residential telephone number. Customers who call your extension will not know that you are receiving calls on your cell phone or residential telephone number. This feature is often used with Call Answer Security to prevent unauthorized people (such as family members) from answering your business calls.

Live Extension Transfers

A live extension transfer allows you to transfer callers from one employee to another. You can transfer calls to other employees or anyone using a regular telephone. For instance you may wish to transfer a customer to a technical person at one of your suppliers. The geographic distance between employees does not matter, you can transfer a customer to another employee who is across the country from you or working from home for the day.

Local numbers

You can choose to have any number of local numbers using our service. You could have local numbers in specific regions where you do business so that customers do not need to call you long distance. You can choose different phone numbers for different offices, employees or products which all have their own unique greetings and features. One local phone number is included with most accounts. Depending on your account type you may be entitled to have multiple numbers included at no extra charge; ask your representative for full details. Message Waiting Indicator

The message waiting indicator is a light which flashes on your business phone whenever you have a voicemail waiting for you. You will also hear a broken dial tone when using the telephone which lets you know that you have a message waiting. You can check voicemail in a variety of ways including via e-mail, a web browser, on your phone or by calling your main phone number from an outside telephone line.

Multiple Offices

Easy Office Phone is completely virtual, allowing you to connect multiple offices together as if they were one. This means you can dial employees' extensions directly, as if they were in the same office as you, and it doesn't matter how far the offices are from each other. You can also have different local phone numbers for each office, but customers can still reach employees at other offices no matter which number they dial. The feature also allows you to have employees working from home, in different regions of the country, with local phones numbers for that region. The virtual nature of Easy Office Phone lets you connect all these offices together so that your company can function as one cohesive entity.

No Hardware Required

Traditional telephone systems required that you invest in an expensive hardware PBX in order to take advantage of its available features, in addition to hiring a technician to physically install and set up the hardware. With Easy Office Phone, there is no need to hire consultants to maintain your system or spend hours wiring telephones around your office. Our solution requires minimal or no investment in technology as a hardware PBX is completely unnecessary. Operator Extensions

A single employee or group of employees can act as the operator for various departments or the entire company. When a customer calls your main phone number the call can be answered by an operator or if they are busy the auto attendant will answer the phone after a certain number of rings. Anytime a customer needs help or wants to speak to someone immediately they can press 0 to be connected with someone who can help direct their call.

Paging/Intercom

The Paging/Intercom feature allows you to use the built in speaker of your digital office phone to page multiple extensions at the same time.  You will instantly be heard over the loudspeaker of each person's telephone even if the other employees are in remote locations.  This feature is only available with our Aastra digital office telephones.

Speed Dial Lists

A speed dial lists lets you assign speed dial codes to each of your customers and vendors.  For instance "Mike's Repair Shop" might be speed dial code 081. Just dial 081 on your phone to reach this vendor.

Soft Phones

A soft phone is a telephone that runs on your computer using a headset.  This allows you to make and receive calls using your computer over the internet from anywhere.  A softphone also lets you place callers on hold with music, transfer them to other employees, use multiple lines and even call other employees by dialing their extensions. Our service is compatible with popular soft phones such as X-Lite, Eyebeam, Bria, Zoiper, and Zoiper Biz.

Unlimited Scalability

Traditional telephone systems only allow you to receive a limited number of calls based on how many physical telephone lines you have installed at the office. This generally results in customers not being able to get through when all the phone lines are in use, or unused capacity at non-peak hours.

Easy Office Phone is a virtual telephone system and (depending on selected plan) does not limit the number of telephone calls you can receive at once. We are able to offer a combination of fixed and variable rate plans which allow you to make sure you never miss a call at peak times while reducing your costs for unused capacity.

Voicemail

Each employee in your organization will have their own mailbox and you can create mailboxes for specific departments or products. Each employee can record their own unavailable greeting and store up to 50 voicemail messages at a time.

Voicemail Notifications

A voicemail notification lets an employee or a group of employees immediately know when a new voicemail has been left for them. Any compatible phone connected to our service will display a "Message Waiting" indication when a new voicemail arrives. Voicemail to E-mail

When a new voicemail is left for an employee they can be notified in a number of different ways to make sure they return the call promptly. You can receive voicemail notification via e-mail, pager, cell phone, blackberry and on your telephone (message waiting indicator). Voicemails can also be received as attachments in your e-mail box which you can listen to through your speakers. There are a number of other ways to check your voicemail messages, such as on your telephone by pressing the 'MSG' button or calling your main telephone number from any regular phone.
